The Registrar Unit of the CDS, as the registrar of their client companies, will issue new share certificates in lieu of old share certificates. Issuing of new share certificates are handled by way of following methods;
- Directly deposit the share certificate to the CDS account notified by the shareholder
- Issue a new share certificate to the shareholder in physical format
Directly Depositing new/duplicate shares to the CDS Account
- Original/old share certificate(s) [If there are any lost share certificates ‘Lost/stolen/misplaced share certificates’ procedure should be followed.]
- Certified copy of the NIC
- Request letter to directly deposit the new share certificate(s) to the CDS account
- Duly completed CDS 3 Form(s)
Issuing a new share certificate
- Original old share certificate(s) [If there are any lost share certificates ‘Lost/stolen/misplaced share certificates’ procedure should be followed.
- Certified copy of the NIC (Certified by an Attorney-at-Law or a Commissioner for Oaths)
- Request letter to post/issue the certificate to a designated party (if applicable)
Procedure to be followed in case of a Lost/stolen/misplaced share certificate(s)
The shareholder should submit the following duly completed set of documents to the Registrar Unit of the CDS;
- Certified copy of the NIC (Certified by an Attorney-at-Law or a Commissioner for Oaths)
- Duly completed Affidavit Format
- Duly completed Letter of Indemnity
- Cost of the newspaper advertisement as notified by the CDS
- Duly completed CDS form/letter with clear instructions
- Duly completed CDS 3 form(s) (if the shares are to be deposited to the CDS account)
Changing details on the Share Certificates
Shareholders may, at times, have to change details such as name and ID number in the physical share certificate they are holding. In such an event, the CDS Registrar Unit will make the corrections to the share certificate after perusing the necessary documents supporting the required change.
Required documents are as follows;
- Documents specified above under Master File Changes as applicable
- Original share certificate
- If the share certificate is lost/stolen/misplaced the relevant procedure must be followed as specified above.
- Certified copy of the NIC (Certified by an Attorney-at-Law or a Commissioner for Oaths)
- Duly completed CDS form/letter with clear instructions
- Duly completed CDS 3 forms (if the shares are to be deposited to the CDS account)
